Account Management

Manage users, teams, roles, passwords, and security settings for your organization.

Roles

Every user in Atlas is assigned one of three roles. Roles determine what a user can see and do within your organization's workspace.

RolePermissions
Super Admin Full access to everything. Can manage users, teams, sites, map profiles, custom types, and organization settings. Can export data and access all sites regardless of team assignment.
Staff Can view and edit devices, cables, routes, and zones on sites assigned to their team(s). Cannot manage users, teams, or organization settings.
Guest Read-only access to sites assigned to their team(s). Can view device details and maps but cannot make changes.
Note Super Admins always see all sites in the organization, regardless of team assignment. Staff and Guest users only see sites that belong to their team(s).

Changing a User's Role

To change a user's role, open Settings (gear icon in the topbar), then go to the Manage Users panel. Click the role label next to the user's name to open the role picker. Select the new role and confirm. You cannot change your own role.

Managing Users

Users are managed from the Manage Users panel inside Settings. Atlas uses unlimited users on all plans — there is no per-user fee.

Inviting a User

Click the + Add button in the Manage Users toolbar. Enter the user's name, email address, and select a role. Atlas will generate a temporary password and send a welcome email to the user with their login credentials and a link to your organization's Atlas workspace.

On first login, the user will be prompted to set their own password.

Removing a User

Click the delete icon next to a user's name in the user list. You will be asked to confirm before the user is removed. You cannot delete your own account.

Password Reset

If a user needs to reset their password, click the key icon next to their name in the user list. This sends a password reset email to the user with a secure link. When they click the link, they'll be taken directly to the password change screen — no login required. Reset links expire after 24 hours.

Teams

Teams control which sites Staff and Guest users can see. A user can belong to multiple teams, and a site can be assigned to multiple teams.

Creating a Team

Open Settings and go to Manage Teams. Click + Add in the toolbar, enter a team name, and save.

Assigning Users to Teams

In the Manage Teams panel, click on a team to open its detail view. Click + Add Member to add users to the team. Team badges appear next to each user's name in the user list.

Assigning Sites to Teams

Open Settings and go to Site Settings. Select a site from the dropdown, then use the Teams section to assign one or more teams to that site. Only users on those teams (plus Super Admins) will see the site.

Tip If you want all users to see a site, assign it to every team — or make those users Super Admins. Super Admins bypass team-based filtering entirely.

Passwords

Changing Your Password

Open Settings and go to the Account panel. Click the Password card. Enter your current password and your new password (minimum 16 characters), then confirm.

Password Requirements

All passwords must be at least 16 characters long. There are no other complexity requirements — we recommend using a passphrase (a sequence of random words) for both memorability and security.

First Login

When you receive your initial invitation email, you'll log in with the temporary password provided. Atlas will immediately prompt you to set your own password before you can access the dashboard.

Multi-Factor Authentication

Atlas supports TOTP-based two-factor authentication (compatible with Google Authenticator, Authy, 1Password, and other authenticator apps).

Setting Up MFA

  1. Open Settings and go to the Account panel.
  2. Click the MFA card.
  3. Scan the QR code with your authenticator app.
  4. Enter the 6-digit verification code to confirm.
  5. Save your backup codes in a secure location. These are one-time-use codes that let you log in if you lose access to your authenticator.

Trusted Devices

During MFA verification, you can check "Remember this device" to skip the MFA step for 90 days on that browser. This creates a trusted device cookie specific to your organization.

Disabling MFA

Open Settings, go to the Account panel, click the MFA card, and click Disable MFA. You'll need to enter a verification code to confirm.

Important If you lose access to your authenticator app and have used all your backup codes, contact your Super Admin to send you a password reset link. This will get you back into your account, but you'll need to set up MFA again.

Changing Your Email

Open Settings and go to the Account panel. Click the Email card and enter your new email address. Atlas will send a verification link to the new email. Your old email remains active until you click the verification link in the new email. The verification link expires after 24 hours.

While a change is pending, you'll see a "Pending" indicator in the Account panel with an option to cancel the change.
